Using your data
This notice tells you about the ways we the Royal Veterinary College collect and use your personal data.

Before you join our clubs you should read it through with your parents or your carers and make sure you understand what information about you that you are sharing with us and what we will do with it.

Your “Personal data” means any information that we or others can use to identify you. It may include your name, address, birthday, and other information about your life.

If we collect information about your race or your religion or about your health this is called ‘special category data’ and we have to make sure that we have a good reason for collecting it and that we treat it with extra care.

It will also tell you how to let us know if you are unhappy and wish us to stop using certain data about you.

Because we collect your personal data and decide how we will use it we are also called a Data Controller. That means we are responsible for how we use your personal data, for treating it with care and for letting you know what we will do with it.

What personal data do we collect?
When you sign up to one of our clubs we collect:

  • Your name

  • Your birthday and age

  • Your gender

  • Your ethnicity - this is special category data

  • Your postcode

  • We will ask for some details about your school such as: what school year you are in, and the name and address of your school

  • If you are aged 7-12 (Junior Vet Club) we will ask for your parent's email address

  • If you are over 13 (Teen Vet Club) we will ask for your or your parent's email address

  • We will also ask what your parents job or occupation is – but you should only tell us this if your parents are happy for you to do so.

  • If you are aged between 7 and 12 we also collect the permission (also called consent) of your parents to join up to the Vet club.

We ask you to tell us how you found out about Vet Club and why you are interested in joining the Junior Vet Club! (this optional, just for fun and to help us make sure we are matching your expectations!)

Why do we collect it?
We collect your information to do two main things.

1 - to give you information about what is it like to be a vet and work and care for animals. So if you are joining the Junior Vet Club we collect this personal data so that we can send you:

  • Email newsletters three times a year, once a school term

  • Information about events for children your age

  • Fun facts about animals 

  • Info from behind the scenes at the RVC

  • Anatomy focus-linking art and science

And if you are joining the Teen Vet Club we collect this personal data so that we can send you:

  • Email newsletters three times a year, once a school term

  • Advance information about members-only events

  • Biology and chemistry tips

  • Info from behind the scenes at the RVC

  • Interviews with people who work with animals

  • Competitions

  • News about student societies and university life

2 - to help encourage you and other children to be interested in animals and science and maybe into studying to be a vet or a vet nurse or a scientist either at the Royal Veterinary College or another University.

This is really important to us and so we use your personal data to help us make sure we are doing the right things to keep you interested. We do this because we and the government think it is good for as many people as possible from all sorts of different backgrounds go to university. We also use your information to tell the government what we are doing to keep you interested and to let them know whether we are doing it well or could be doing it better.

How long will we keep your personal data?
If you have signed up for Junior Vet Club we will keep your information until you reach the age of 13, we will then ask if you want to join the Teen Vet Club and if you do then we will ask for your information again.

If you don’t want to join the Junior Vet Club we will keep some information about you for our records and to help us understand our work but we will stop sending you information. If you have signed up for Teen Vet Club we will stop sending you information when you request us to stop or when you reach the age of 19. We will keep some keep some information about you for our records to help us understand our work.

How can I find out more about what you are doing with my personal data and how can I change it?
The law says that you can ask us:

  • to see what personal data we have about you

  • to correct any mistakes

  • to stop using it

  • to get rid of it

  • to stop using it for certain things

If you or your parents have any concerns then you or your parents should email data@rvc.ac.uk and we will help you.
